Working with Gift Cards

 

Once we have completed your gift card setup, we will send you an email with detailed information on how to proceed with using gift cards.

Introduction

After you receive the email confirming gift card setup, you will see a new category on the POS named GIFT CARD. It will be added as the last category, but you can move it to a different position if you choose.

The new GIFT CARD category will contain two items:

  • New Gift Card -- you will use this item to sell and activate new gift cards.

  • Reload Gift Card -- you will use this item to add money to gift cards that have already been activated.

You will also see a new Gift Card Balance button added to the Slide Out Menu.

Finally, Gift Card will be added as a payment method on the POS.  It will also be listed as a payment type in the Back Office and display on reports.  Note: You will not see your gift cards on the inventory management screens.

Selling Gift Cards

  1. Tap the GIFT CARD category.

  2. Tap the New Gift Card item.

  3. When prompted, enter the amount to be added to the gift card (similar to Prompt for Price).

  4. Swipe the gift card.  The system will add the gift card to the ticket and activate it during checkout.  The system will print a gift card receipt at the end of the transaction that will show the activation date/time and the gift card balance.

Since the gift card is not activated until checkout, customers cannot reload a gift card and use that same gift card for payment within the same transaction.  If you try to do this, the system will alert you of your options (use a different card for payment, choose a different payment type, or perform the gift card reload in a separate transaction).

  1. Tap the GIFT CARD category.

  2. Tap the Reload Gift Card item.

  3. When prompted, enter the amount to be added to the gift card.

  4. Swipe the gift card.  The system will add the gift card to the ticket and reload it during checkout.  The system will print a gift card receipt at the end of the transaction that will show the reload date/time and the gift card balance.

Since the gift card is not reloaded until checkout, customers cannot reload a gift card and use that same gift card for payment within the same transaction.  If you try to do this, the system will alert you of your options (use a different card for payment, choose a different payment type, or perform the gift card reload in a separate transaction).

Checking a Gift Card Balance

  1. Tap the Gift Card Balance button located in the slide out menu.

  2. Swipe the gift card.  The system will display the balance of the gift card on the screen.  You can also choose to print the gift card balance.

Accepting a Gift Card as Payment

You'll also see a Gift Card tender type button when you tap Pay at the POS.  To accept payment using a gift card, tap the Gift Card payment type or simply swipe the card.  If the gift card balance is not sufficient to cover the entire ticket amount, you will be returned to the Checkout screen to select another method of payment.  If there is a remaining balance on the gift card, it will be displayed on the customer receipt.  You cannot add tips on gift cards.

Using a Gift Card for Store Credit

If a customer returns an item, you can put the refund amount on a gift card (like a store credit).

  1. Add the item being returned to the ticket/sale.

  2. Change the item to a return.

  3. Tap Pay.

  4. Choose Gift Card as the payment type.

  5. Tap Done.

  6. Swipe the gift card.

  7. When the transaction completes, the printed receipt will show the gift card balance.  Please note that this could result in a negative sales amount for gift cards on reports where the amount by payment type is displayed.

Returning Gift Cards

The system does not allow returning a gift card.  This means you cannot change the New Gift Card or Reload Gift Card items to a return.

Scanning Gift Cards

If using Silver Essentials on iOS, you can also enter a gift card number by scanning.  In any of the processes above, simply use your handheld scanner to scan the barcode on the gift card instead of swiping it.
